ClinZup ("we", "our", "us"), operated by ProCode HUB, provides a WhatsApp-based practice management and patient communication platform for healthcare providers (clinics, hospitals and diagnostic laboratories) in India. This policy explains what data we collect, how we use it, and the choices available to you.

1. Who We Serve

• Healthcare Providers ("Clients") — clinics, hospitals and labs that subscribe to ClinZup and connect their WhatsApp Business number to our platform.
• Patients ("End Users") — individuals who message a Client's WhatsApp number, or the ClinZup Patient Network number, to enquire, book appointments, receive queue tokens, reports or reminders.

2. Information We Collect

• From Clients: business name, contact details, WhatsApp Business Account (WABA) information, phone number IDs, staff details entered by the Client, service catalogues, and subscription/billing records.
• From End Users (patients): WhatsApp phone number, name (when shared), message content sent to the connected number (e.g., appointment requests, health-related enquiries), appointment and token details, city/area (when shared for finding nearby care), and feedback ratings.
• Automatically: message delivery metadata provided by Meta's WhatsApp Business Platform (timestamps, delivery status, pricing category) and technical logs required to operate the service securely.

3. How We Use Information

• To deliver the core service: responding to patient messages (including AI-assisted responses), managing appointments, queue tokens, lab reports, reminders and follow-ups on behalf of the Client.
• To connect patients with registered healthcare providers through the ClinZup Patient Network, when a patient requests suggestions.
• To provide Clients with dashboards, analytics and message usage billing.
• To maintain security, prevent abuse, and comply with legal obligations.

We do not sell personal data. We do not use patient message content for advertising.

4. WhatsApp Business Platform

ClinZup is built on Meta's WhatsApp Business Platform (Cloud API). When Clients connect their WhatsApp Business number via ClinZup, messages are processed through Meta's infrastructure and are subject to WhatsApp Business Terms and Meta's Privacy Policy. ClinZup accesses WhatsApp Business Accounts solely to provide the services described above, in line with Meta's platform policies for Tech Providers.

5. AI-Assisted Responses

Some patient messages are processed by third-party AI language model providers (such as OpenAI) to generate helpful replies. Only the conversation content necessary to generate a response is shared, and it is not used by us to train models. AI responses never provide medical diagnosis or prescriptions; patients are always directed to qualified healthcare providers.

6. Data Sharing

• With the relevant healthcare provider: when a patient books, takes a token, or asks to be connected to a clinic/lab, their name, phone number and stated need are shared with that provider so they can deliver care.
• Service providers: hosting (Hostinger), messaging (Meta WhatsApp Business Platform), payments (Razorpay), and AI processing (OpenAI) — strictly to operate the service.
• Legal: where required by applicable law or valid legal process.

7. Data Retention & Security

Data is retained while a Client's subscription is active and for a reasonable period thereafter for legal and accounting purposes. Patient conversation data is retained to provide continuity of service (e.g., remembering appointments and follow-ups) and can be deleted on request. We use encrypted connections (HTTPS/TLS), access controls, and secured databases hosted in professional data centres.

8. Your Rights

Patients and Clients may request access to, correction of, or deletion of their personal data by contacting us at the details below. Patients can stop interacting with any ClinZup-powered number at any time; replying "STOP" to marketing broadcasts opts you out of promotional messages.

9. Children

Our services are intended for use by adults. Health information about minors is processed only when shared by a parent or guardian communicating with a healthcare provider.

10. Changes

We may update this policy from time to time. Material changes will be posted on this page with an updated date.
